Paid Time Off (PTO) is used for vacation, personal and sick time. PTO is requested in two systems: Fellows Central and ADP. Please complete both steps to ensure PTO is tracked accurately as the systems can not communicate with each other. When possible PTO should be submitted at least 10 business days in advance.
PTO Part One - Fellows Central
1. Log into FellowsCentral and navigate to “My Financials."
2. Scroll to the bottom to PTO Requests. Click on the Create "New PTO Request" icon to access request form.
3. You will be required to provide the number of hours, PTO start and end date, and if it will coincide with approved Travel/Training. Please certain to only calculate PTO in 4 hour (half day) or 8 hour (full day) increments.
4. Click "Send Request to Mentor" to send request for approval to your mentor.
You will receive an email confirming this request, and an email will be automatically generated to your mentor. Your mentor has the ability to approve/not approve or ask for additional information. Once your mentor approves the request, a notification will be sent to AFPI for approval. Once approved, you will receive an approval notice from AFPI. If you are out sick, once you return to your office, please follow the same procedure.
PTO may be taken only in half-day (4 hour) and full-day (8 hour) increments.
PTO Part Two - ADP
Once your mentor and AFPI have approved your PTO request in Fellows Central, request PTO in ADP at workforcenow.adp.com.
- Go to Myself > My Time Off > Request Time Off
- Select the type of time off and the start and end dates.
- When you’re done, click Submit.
- Please note this request only goes to AFPI. Once this PTO is approved it will auto-populate on your ADP Timecard. PTO can not be entered directly on the ADP timecard.
